_____
Communication and Transparency
The moderation team consists of the following ranks: User Lead, Admin Trainee, Administrator, and Global Administrator.
User Leads and Administrators have different levels of access, starting with Administrators being able to view almost all functions in the ACP.
Due to variability in staff, not all moderators have access to sensitive information.
User Leads are the most numerous section on staff, making up 20% of the user base. This means if a room is active of 20 people, 4 of them will be User Leads.
Such a large section of moderators ensures that users make up most of the decision-making processes and are involved in maintaining the website.
The moderators meet up together monthly to discuss topics, usually organized by an Administrator or Global Admin.
Every three months, User Meetings occur that gives non-staffed users the capacity to stand before the Global Admins and Administrators, ask questions or bring up concerns.
Administrators and Global Admins meet up for an hour weekly to discuss various topics. Almost every topic discussed makes its way down to the user base, whether through polls, discussions or more.
Users are also encouraged to make appointments with the Global Admins to meet on subjects of the user’s interest. While User Leads may not have access to user history and ban information, they impact the community through diversification and increased transparency. User Leads are leaders of the user base, and are highly esteemed users with more responsibilities and benefits to pair.

_____
Moderation and Reports
Lupinar has a numerous team of moderators, including many talented, experienced volunteers with different levels of responsibility.
These moderators play a role in enforcing the guidelines, ensuring a safe environment for the community.
Users have many ways to report rule violations, each report method is useful in providing vital information. This information is carefully documented, which includes essential details about the incident and basic information on the offending user's account.
This system helps us efficiently manage and categorize events, allowing us to see a clear image of a user’s history, communicate with other moderators more effectively and to further escalate issues when necessary.
Penalties for rule violations may include actions like warnings, temporary account freezes, or suspensions. User History is recorded and maintained for 24 months.
_____
Dispute Resolution
Users are encouraged to resolve their conflicts before moderator intervention is required. If a conclusion between parties cannot be made without mediation, moderators step in. Moderators will either act as arbitrators or mediators, depending on the situation. For most rule violations, Administrators will decide the consequences of the offending account(s). However, when civil discourse can be resolved with peaceful mediation, Administrators will opt out to become a neutral party that helps parties reach a mutual agreement. Lupinar moderators attempt to resolve issues without escalation, however the capability to do so is always available if needed.
_____
Account Liability
Users are responsible for their account under most conditions. If a user is suspected to be hacked by another person, their account will be quarantined for a certain amount of time. During the quarantine, Administrators will dispute the hacking claim. Quarantine could take anywhere from a few hours to a couple of days.
Users who are victims of hacking are excused and may receive compensation for the quarantine, such as free subscription time to honor lost time and so on.
Users are capable of locking their account and are encouraged to use safe, reliable passwords that are also changed every 6 months or less. Failure to secure your accounts could result in a ban, please don’t risk the chances and try to keep family members, roommates, and the like away from your accounts as well.
Each case is handled individually.
_____
Termination
Respectful internet etiquette is advised on Lupinar. When a user violates a rule or policy, measures may be taken on their account to address the infraction.
Termination methods may include account freezes, removal from a room (aka ‘kick’ or ‘chase off’), temporary suspensions and permanent bans.
The moderator team reserves the right to authority to employ any necessary means to remove troublesome users. Users who have been suspended can appeal their ban by opening up a problem ticket.
When a user appeals their ban, administrators meet up to discuss the user’s ban in what is known as a Hearing. Hearings review the material that led up to the ban, and admins re-evaluate the details of the ban.
The Hearing can take an indefinite amount of time to process, however most decisions are made within 3-5 business days. A failed Hearing means the termination continues as presented. A passed Hearing can be anywhere from a full ban removal to a lightened sentence. Users are not required to attend their Hearing.
_____
Contact Information
The moderation team is diverse and large, with many avenues of contact. Users can contact the administration directly using any of these following methods:

Problem Ticket
The Problem Ticket is a traditional tool that accesses the Global Administrators directly. GA’s view these Problem Tickets once a day.

Reports
Moderators can be directly approached on chat. There is also a general form that trained User Leads and Admins both view. These report forms are for instances when a moderator was not available.

Grievance Form
When in need to express grievances with the site or staff, users are asked to fill out a grievance form. Completed forms are sent directly to the Global Administrators, to be taken seriously.

Anonymous Feedback
Anonymous Feedback allows a user to elaborate on their ideas and concerns without an identity. Administrators review completed forms in private. Due to the anonymous nature of the form, conversation between both parties are limited. Anonymous forms are posted publicly after they have been reviewed by the staff.

Discord
Discord is a great resource to have available. It is useful for emergencies and pose uploader reviews. If no moderators are online, using the Discord’s Ticket Tool may get a moderator’s attention.

Forum
Another avenue for contact is using the community forum. The forum contains a lot of resources and answered questions.

Miscellaneous
Currently, Lupinar does not have an address to receive mail or a phone number to receive calls or texts.
